Proposal Routing Timeline

Final Budget and Justification, All Final Business Elements*, Draft of Science and SEFS Proposal Cover Sheet for complex proposal* are due to SEFS RGC team by 12:00PM. |

Final Budget and Budget Justification, All Final Business Elements*, Draft of Science and SEFS Proposal Cover Sheet for non-complex proposals are due to SEFS Grants Team by 12:00PM. |

The SEFS RGC team member assigned your proposal will at this time route the eGC1. The eGC1 will only route if the Budget and Budget Justification, all Final Business Elements* and Draft of Science are ready for College and OSP review. |
6 Business Days |
Due to SEFS RGC team: Ready to Submit to Sponsor proposal and final science document is due to SEFS RGC team by 12:00PM (noon). The RGC team member assigned your proposal will conduct a final review of the proposal. The proposal will then reroute via the eGC1 and Sponsor Submission Portal (if applicable) to the College for approval and then to OSP by the 5:00PM deadline the following business day. Note: when proposals are submitted to OSP at 5:01 pm or after, OSP considers this as being turned in the next business day. |

OSP submits proposal to sponsor. Note: Proposals due on a weekend or UW observed holiday will be submitted to the Sponsor by OSP the business day prior to the due date. |

The Director’s office at the School of Environmental & Forest Sciences must receive the eGC1 at least 24 hours prior to the OSP three-day deadline to allow sufficient time for review.
The Dean’s office at the College of the Environment must receive the eGC1 at least 24 hours prior to OSP’s three-day deadline to allow sufficient time for review. This closer review at the College level reduces the chances of a proposal being returned at the University level, and it helps avoid serious problems such as committing nonexistent resources to funded proposals.
Complex Proposal Criteria
A proposal is complex if it includes any of the following elements:
- Cost Share
- Subcontracts, Consultant, Vendors
- New Proposal at less than the federally negotiated indirect cost rate
-OR-
If it includes two or more of these elements:
- Submission of proposal on sponsor website
- Multiple or complex sponsor templates
- Co-PI’s from outside of SEFS
Final Business Elements include (but are not limited to) the following:
- Draft of Science, i.e. Project Summary, Project Description, Scope of Work
- Budget and Budget Justification
- Cost Share Commitments
- Biographical Sketches, Current and Pending Support form, Collaborators and Other Affiliations
- Final Sponsor required elements such as Facilities, Equipment and Other Resources, Data Management Plan, Key Personnel, Logic Model, Support Letters from Collaborators, Other Supplementary Documents etc.
- Subcontractors Letter of Intent, Scope of Work, Budget and Budget Justification, Cost Sharing Commitments, Biographical Sketch, Current and Pending list, and Other Sponsor required documents
